Reusing templates
A template stores a reusable set of line items and pricing terms. Apply one when creating or editing a quote to fill in your standard products and pricing instantly, then adjust for the specific job.
What a template contains
Section titled “What a template contains”Line items: each line item links to a product from your catalogue (or is a one-off item). It stores the product name, description, quantity, unit price, and category.
Default terms:
- Default currency: the currency pre-selected when this template is applied.
- Default validity (days): how many days the resulting quote stays open for the buyer to accept.
- Default contract length (days): the default service period, relevant for Contract-type quotes.
Prices stay current automatically
Section titled “Prices stay current automatically”When you open a template for editing, or when the platform applies it via an automation rule, the line item prices are refreshed from your product catalogue. If you’ve updated a product’s base price since the template was last saved, the template picks up the new price automatically.
This means you maintain accurate pricing in your product catalogue, and your templates stay in sync without you manually updating each one.
Creating a template
Section titled “Creating a template”Go to Templates → New Template. Give it a name, set your default terms, and add your line items. Each line item can pull from your product catalogue (type the product name to search) or be added as a custom one-off item.
Once saved, the template is available in the quote editor and in automation rules.
Applying a template
Section titled “Applying a template”When building or editing a quote, click Choose Template in the quote editor. Selecting a template replaces the current line items with the template’s items and updates the default terms. You can then adjust quantities, add or remove items, and change any field before submitting.
Templates and automation
Section titled “Templates and automation”Templates are what make automation rules powerful. An automation rule set to “apply template” uses your template to auto-respond to every matching request. Keeping your templates accurate means automation can handle a high volume of responses without you needing to review each one individually.
Managing templates
Section titled “Managing templates”- Open the Templates list to view all your saved templates.
- Edit a template to update its line items or terms.
- Delete a template you no longer use.
- A deleted template won’t affect quotes already created from it.
